This Privacy Policy describes how METASOFT 3D SRL collects, uses, stores and protects the personal data of users of the myHotelManager application (hereinafter "the Application").

1. Personal Data Collected

We collect the following types of personal data, provided directly by you when creating an account:

Identification and Contact Data:
  • Hotel/Guesthouse Name
  • Owner Name
  • Hotel/Guesthouse Address
  • Email
  • Phone Number
Account Security Data:
  • Password (stored in an encrypted/hash format, irreversible)

2. Purpose of Data Collection and Processing

Your data is collected for the following purposes:

  • Service Provision: To allow you to access and use the myHotelManager Application and its main functionalities (e.g. managing reservations, rooms, customers).
  • Identification and Authentication: To create your unique account and ensure secure access to the Application.
  • Communication: To send you important notifications related to the Application, updates, security issues or changes to the Terms.
  • Technical Support: To provide you with efficient support and technical assistance.

3. Legal Basis for Processing (GDPR)

Data processing is based on the following legal grounds:

  • Contract Performance: Processing is necessary to provide the requested services (account creation and use of the Application) in accordance with the Terms and Conditions.
  • Legitimate Interest: Maintaining account security and continuous improvement of our services.

4. Disclosure of Data to Third Parties

METASOFT 3D SRL undertakes not to sell, rent or make your personal data available to third parties, except when:

  • It is necessary to provide the service (e.g. hosting service providers, cloud storage, sub-processors, acting under our strict supervision).
  • It is required by law (e.g. legal requests from authorities, law enforcement agencies).
  • Online payment processing is necessary. In this case, payment data is transmitted to our partner, NETOPIA Financial Services S.R.L. We note that METASOFT 3D SRL does not store your bank card data.
  • You expressly give your consent.

5. Data Storage and Security

Storage Period: Your data will be stored for the entire duration that your account in the Application is active. After requesting account deletion, the data will be deleted or anonymized within a maximum of 180 days, with the exception of data we are required to keep by law.

Security: We have implemented appropriate technical and organizational measures, including password encryption (hashing), secure communication protocols (SSL/TLS) and access control, to protect data against destruction, loss, alteration or unauthorized access.

6. Your Rights (Under GDPR)

As a user, you benefit from the following rights (click on titles for details):

To request a copy of the data we hold about you.

To request correction of inaccurate or incomplete data.

To request deletion of your data, under certain conditions.

To request restriction of how we process your data.

To receive data in a structured format and transfer it to another operator.

To object to the processing of your data in certain situations.

To lodge a complaint with the National Supervisory Authority for Personal Data Processing (ANSPDCP) if you are dissatisfied with how we process data.

7. Cookie Usage Policy

The myHotelManager Application uses cookies to ensure the proper and secure operation of the Service.

Essential for login and security. Without them, the Application cannot function.

If you check this option, we store a persistent cookie to keep you authenticated (usually 30 days).

You can delete cookies from your browser settings, but this will require re-authentication at each visit.
